These Terms & Conditions ("Terms") govern your use of the Staff Docs application and services (the "App"). By creating an account or using the App, you agree to these Terms. If you do not agree, do not use the App.
You must be at least 18 years old and authorised to manage your business and its staff records. You sign in using Google or Apple and are responsible for keeping access to your account and your phone secure, and for all activity under your account.
Staff Docs provides tools to record staff and company documents, read document details from scans on your device, show expiry dates and grace periods, remind you before documents expire, track renewals, and prepare lists you can share. We may add, change or remove features over time.
Staff Docs is an independent business tool. It is not affiliated with, endorsed by or connected to any UAE government authority, including ICP, GDRFA, MOHRE, Amer or Tasheel. It does not renew documents for you, submit applications, or check official records.
Access to the App requires a paid subscription after a free trial. The current price and trial length are shown in the App before you subscribe. Payments are processed by Stripe, or by Google Play or the App Store if you subscribe through them. Subscriptions renew automatically each billing period unless cancelled. Billing and refunds are described in our Refund Policy. Prices may change on prospective notice.
Documents, images and staff records you add are stored on your device, not on our servers. You are responsible for keeping backups. If you uninstall the App, reset or lose your phone without a backup, that data cannot be recovered by us. Backup files are encrypted with your password; we cannot recover a forgotten password.
You own the data you enter and are responsible for its accuracy. You confirm you have the right and any necessary consent to keep information about your staff, and that you will use the App in compliance with applicable UAE laws, including labour and data-protection laws. You must not use the App for any unlawful purpose, or to store documents you are not entitled to hold.
Details read from scans may contain errors, so always check them before saving. Grace periods, fine estimates, "act by" dates and reminders are provided for convenience, are based on the information you enter and on general rules that can change, and may not reflect your specific case. They do not constitute legal or immigration advice. Always confirm requirements, deadlines and fines with the relevant authority or your PRO. We do not guarantee that a reminder will be delivered - for example if notifications are turned off or blocked by your phone's battery settings.
You agree not to reverse engineer, disrupt, overload, or attempt to gain unauthorised access to the App or its systems, and not to use it to infringe the rights of others.
The App, its software, design and branding are owned by Staff Docs and its licensors. These Terms do not grant you any rights in them except the limited right to use the App as intended.
The App is provided "as is" and "as available" without warranties of any kind, whether express or implied, to the fullest extent permitted by law. We do not warrant that the App will be uninterrupted or error-free, that document details will be read correctly, or that reminders will always arrive.
To the maximum extent permitted by law, Staff Docs will not be liable for any indirect, incidental, special or consequential damages, or for any loss of data, profits or business, or any fines or penalties, arising from your use of the App. Our total liability for any claim relating to the App will not exceed the amount you paid for the subscription in the 3 months before the claim.
You may stop using the App and delete your account at any time. We may suspend or terminate access if you breach these Terms or misuse the App. On termination, your right to use the App ends; data handling follows our Privacy Policy.
These Terms are governed by the laws of the United Arab Emirates, and the courts of the UAE will have jurisdiction over any dispute, without prejudice to any mandatory consumer rights you may have.
We may update these Terms from time to time. Continued use of the App after changes take effect means you accept the updated Terms.
